Dashboard Overview
When you log in, you land on your Dashboard. Here's what each section shows:
Shows your four key numbers at a glance: Total Invoices (all-time count), Paid (invoices marked paid), Overdue (past due date, unpaid), and Revenue MTD (total collected this calendar month).
New Invoice — starts the invoice creation flow. Add Client — adds a client to your address book so you can bill them.
A live feed of your most recent invoice events: created, sent, viewed, paid. Useful for knowing where you left off.
Managing Clients
Clients are the businesses or people you bill. Adding a client first makes invoicing faster — you won't have to retype their details every time.
Adding a Client
Click Clients in the left sidebar.
Fill in their name, company (optional), email address, and billing address. Email is required to send invoices digitally.
If your client pays in XRP, enter their XRPL wallet address here. InvoiceDLT will pre-fill it when creating XRPL payment invoices for this client.
The client appears in your list immediately and is available for new invoices.
Editing or Deleting a Client
Click on any client's name to open their profile. Use the Edit button to update details, or Delete to remove them. Note: deleting a client does not delete their invoices — those remain in your records.
Creating an Invoice
An invoice is a formal request for payment. Here's how to build one from scratch:
From the Dashboard or the Invoices page, click the New Invoice button.
Choose from your saved clients list. Their billing email and address will fill in automatically. Need to bill a new person? Add them as a client first (see above).
Invoice Number — auto-generated, but you can change it to match your own numbering scheme.
Issue Date — today by default.
Due Date — when payment is expected. Common terms: Net 7, Net 15, Net 30 (7/15/30 days from issue).
Currency — USD, EUR, etc. (XRP payment is a separate option below).
Each line item is a product or service you're billing for. Enter a Description, Quantity, and Unit Price. The line total calculates automatically. Click Add Line to add more rows.
Enter a tax rate (e.g., 8.5 for 8.5%) or a flat discount amount. These apply to the subtotal and are shown separately on the invoice.
The Notes field appears at the bottom of the invoice. Use it for payment instructions, thank-you messages, or project references your client should include when paying.
Save Draft — saves without sending. Come back to edit it anytime.
Send Invoice — saves and emails the invoice to your client immediately.
Sending Invoices
Send by Email
Click Send Invoice when creating, or open any Draft invoice and click Send. InvoiceDLT emails a professional invoice to your client with a payment link included. The invoice status changes from Draft to Sent.
Share a Payment Link
Every invoice has a unique payment page URL. Open the invoice and copy the Payment Link — you can paste this into any message, chat, or email manually.
Download as PDF
Open any invoice and click Download PDF. This generates a print-ready version you can attach to an email, save to your records, or hand-deliver.
Recording Payments
Your Client Paid Online (via the payment link)
If your client clicked the payment link and paid by card through Stripe, the invoice automatically updates to Paid. No action needed on your end — you'll also receive a confirmation email.
Your Client Paid Outside the App (cash, bank transfer, check)
Open the invoice, click Mark as Paid, and select the payment date. This updates your records and sends a payment confirmation email to your client.
Partial Payment
Open the invoice, click Record Payment, and enter the amount received. InvoiceDLT tracks the balance due and marks the invoice as Partially Paid until it's fully settled.
XRPL & Crypto Payments
InvoiceDLT is built on the XRP Ledger (XRPL). Clients can pay invoices directly with XRP — no bank account or credit card required.
How It Works
Go to Settings → Account → XRPL Wallet and enter your XRP wallet address. This is where you'll receive XRP payments. Don't have one? We recommend Xaman Wallet (free, mobile app).
When creating an invoice, select XRP as the payment method. InvoiceDLT will automatically calculate the XRP equivalent of your USD amount using the live exchange rate at the time the client pays.
The payment page shows a QR code your client scans with their XRP wallet app. The exact amount and your wallet address are pre-filled — they just confirm and send.
After the client pays, InvoiceDLT checks the XRPL transaction and marks the invoice Paid automatically (usually within 4-8 seconds).
Invoice Statuses
Every invoice has a status that tells you where it stands:
Created but not sent. Only you can see it. Edit freely before sending.
Emailed to your client. Awaiting payment. The clock is running on the due date.
Past the due date, still unpaid. Send a reminder to prompt your client.
Payment received and confirmed. Revenue is counted in your MTD total.
Reminders & Follow-ups
Send a Payment Reminder
Open any Sent or Overdue invoice and click Send Reminder. InvoiceDLT emails your client a polite payment reminder with the original invoice details and payment link re-attached.
When to Send Reminders
- 3 days before due date — friendly heads-up
- On the due date — "payment due today"
- 3 days after due date — first overdue notice
- Weekly after that — persistent follow-up
Account & Settings
Access Settings from the top-right user menu (click your initials).
Profile Tab
Update your display name and email address. Your business name appears on all invoices — make sure it's correct here.
Security Tab
Change your password. Enter your current password, then your new password (minimum 8 characters). Passwords are encrypted — InvoiceDLT staff cannot see them.
API Keys Tab
For developers integrating InvoiceDLT with their own systems. If you're not writing code, you won't need this tab. See API Documentation for developer details.
Notifications Tab
Choose which emails you receive: payment confirmations, overdue alerts, billing notifications, and product updates.
Billing Tab
See your current plan and click Manage Billing to update your card, download receipts, or cancel your subscription.

To upgrade, go to Settings → Billing → Manage Billing, or click the plan badge next to your email in the top bar.
Cancellation
Cancel anytime from Settings → Billing. You keep your plan features until the end of your billing period. After that, your account downgrades to Solo (free) — your data is never deleted.
FAQ
Can my client pay without a crypto wallet?
Yes. If you set the invoice to accept card payments (via Stripe), your client pays like any normal online checkout — no crypto knowledge needed. XRPL payment is an additional option, not a requirement.
What currencies can I invoice in?
You can invoice in any major fiat currency (USD, EUR, GBP, CAD, AUD, etc.). XRP is available as a payment method regardless of what currency the invoice is denominated in — InvoiceDLT handles the conversion.
Does my client need an account?
No. Your client receives a payment link via email and pays directly — no account, no login required.
Is my financial data secure?
Yes. All data is encrypted in transit (TLS) and at rest. Passwords are stored as secure hashes — we cannot see them. Payment processing is handled by Stripe (PCI-DSS certified) — we never see your client's card number.
What happens if the XRP price changes while my client is paying?
The XRP amount shown on the payment page is locked in at the moment your client opens it. They have a short window to complete the payment at that rate. If they wait too long and the quote expires, a fresh quote loads automatically.
Can I send invoices in other languages?
The invoice template is in English currently. You can type line item descriptions and notes in any language — those appear on the invoice as-is.
I accidentally sent the wrong invoice. What do I do?
Open the invoice and click Void Invoice. This marks it cancelled and sends your client a notification. Then create a new, corrected invoice.
How do I get a receipt for my InvoiceDLT subscription?
Go to Settings → Billing → Manage Billing. You'll find a full payment history with downloadable PDF receipts for your records.
Who do I contact for help?
